How UWRF handles website information

Information we collect
When you contact us, we may collect your name, email address, optional telephone number, enquiry category and message. Newsletter registration collects your email address. Ticket registration collects each attendee’s name, email address, phone number, optional accessibility request, consent choice and unique ticket identifiers. Please do not send medical records through website forms.
Why we use it
We use information to respond to enquiries, administer requested membership or partnership conversations, send updates you asked for, deliver tickets by email, prevent duplicate or fraudulent ticket use, verify QR codes and manage event-day attendance.
Health and sensitive information
If your enquiry suggests a health or safeguarding need, we will seek explicit consent before collecting further sensitive information and arrange an appropriate channel. We may refer you to a qualified service with your knowledge and consent, except where disclosure is required to protect life or by law.
Who receives it
Authorized UWRF personnel and service partners receive only what is necessary for their role. The TUGENDE ticket operation uses Google Apps Script and Google Sheets to process registrations and manage tickets. We do not sell personal information.
Retention and security
UWRF limits access to people who need information for federation or event duties. Enquiries, subscriptions and ticket records are kept only as long as needed for the stated purpose, event administration, safeguarding and reasonable record-keeping, then deleted or anonymized under UWRF’s retention process.
Your choices
You may ask UWRF to correct inaccurate contact or attendee details, request access or deletion, and unsubscribe from federation updates at any time. UWRF may need to retain limited records where there is an operational, safeguarding or accountability reason.
Ticket registration, QR verification and attendance
Each attendee receives a unique Ticket ID and verification token represented by a QR code. Public QR verification returns an authentic or invalid result without displaying the attendee’s email address or phone number. Only authorized event staff can record attendance, and the system limits attendance to one entry per ticket per event day while allowing the same ticket to be used on later championship days.
The optional accessibility request helps UWRF understand event access needs. It is not a medical-record service and does not guarantee transport, equipment, treatment or a particular adjustment. Contact info@uwrf.ug if you need to correct ticket information.
Cookies, browser storage and external content
The UWRF website does not currently use advertising or analytics cookies. It uses essential browser storage to remember whether you accepted optional content. If you choose to load Facebook or another external social-media service, that provider may set cookies or collect technical information under its own privacy policy.
You can choose Essential only and continue using the main website. Choose Accept optional content only if you want external social-media content to load. You can reopen these controls at any time using the Privacy choices button in the footer.
